In this part of the application, you describe whose data you are applying for, from which registers and for what time period. First define the target group and any control and relative groups. Only then describe the data to be extracted for these groups.

You select the data controllers and datasets from menus based on the Data Resources Catalogue. If the data you need is not in the menus, add it manually. Before you start, check the exact names of the data controllers, registers and datasets in the Data Resources Catalogue or with the data controllers.

9. Target groups

Enter the name, basis and size of the target group. If you are forming a new group, select the data controller and dataset and describe the extraction criteria. If you are using a previously formed group, explain on what basis it was formed.

Give each group a clear, specific name and use the same names in the data extractions.

10. Control groups and 11. Relative groups

Fill in these steps if you are extracting controls or relatives for the target group. Enter the registers the extraction will be made from, the criteria for identifying the people, the number of controls for each person in the target group, and the matching criteria.

Give each group a clear, specific name and use the same names in the data extractions.

12. Data extractions and variables

Describe which data will be extracted for each group and for what time period. Add a separate row for each combination of data controller and register or dataset, and mark on the row every group the data will be extracted for. If different groups need different variables or a different time period, add separate rows for them.

Where relevant, also include:

  • any age or sex restrictions
  • the time period and the variable used to define it (for example date of birth or the date a medicine was prescribed)
  • any special restrictions on the extraction
  • the order of the extractions, if the extraction has several stages

13. Review of extractions

This step shows a summary of the information you have entered. The data will be extracted exactly as you have described it, and errors in the target group criteria or variables can seriously affect how usable the data is. If you notice an error, delete the row and create a new one.
